Check out procedures is very subjective and they try and stiff you with all sorts of fees that they plan to take out of the deposit. They make vague declarations as to why the fees are to be deducted but when challenged with specifics they can't provide anything. State the facts and ask them to provide back up to the reason why they want to make deductions. If possible be at the checkout inspection and question what they think they will do if they are going to suggest deductions from the deposit. They are not thorough in stating their facts because they don't often have them, so be clear with your facts to ensure they don't take monies out of the deposit. They had originally wanted to take out nearly £200 from the deposit and in the end they took only £40 - and that is only because I got tired of dealing with them. They really didn't have a leg to stand on but since they already have your money they are in a better negotiating position and can do as they please - or so they think.
What agent could do to change your mind?
They need to be honest about their tactics to take monies from the deposit. They need to state clear facts to build their case. They need to cross reference their statements against the facts before they make any claims against deposit monies. The fact they were will willing negotiate the fees suggest that they were just "trying it on" and see what they could keep from the deposit monies. A very unethical and unprofessional approach.

With regards to the fees charged, these are stated in the tenancy agreement and are chargeable should extra work be generated as a result of the condition you have left the property in. If the property is left in the correct condition then nothing is charged to the deposit.
We are always fair when deciding what to charge tenants for and have strict guidelines to adhere to. It is not in our interest to try to charge tenants for issues/fees for which they are not responsible.
