All our fees are shown inclusive of VAT where applicable.
Guaranteed Rent
If you are renting your property to us on the Guaranteed Rent Service, we will not charge you any fees at all.
Charges will apply for our other services, please see the table below for details of these.
Set Up Fee for Fully Managed and Rent Collection
When you first instruct us on either of these schemes you will have to pay a Set Up Fee. This fee covers all the cost of advertising, finding a tenant, compiling the inventory and drawing up agreements etc. The Set Up Fee is payable each time you instruct us to find a new tenant for your property.
A fee for protecting the tenant’s deposit may be charged separately to cover our costs.
Commission for Fully Managed and Rent Collection
We charge a monthly commission for the ongoing management of your property, which will depend on the level of service you require.
Renewal Fee for Fully Managed and Rent Collection
If you are happy to renew the tenancy we may charge you a Renewal Fee, payable prior to the tenant signing a new agreement.
Tenant Find Charges
If you simply want us to find a tenant for your property, we will charge you a one off fee. This fee covers all the cost of advertising, finding a tenant, compiling the inventory and drawing up agreements etc.

Maximum Inventory Charge – Tenant Find
This is a charge in addition to the Tenant Find Charges for organising an inventory of the property. The cost will depend on the size of the property and whether furnished or unfurnished.
Maximum Deposit Protection Fee
This fee is payable when we register the tenancy deposit with TDS (The Dispute Service). The charge for managed tenancies is £24 inc VAT per tenancy and for Tenant Find £72 inc VAT per tenancy.
Annual Statement
A charge to prepare an annual statement
Legal Property Notices
Cost for issuing legal notices on behalf of the Landlord.
Section 13 Notices
A charge made for negotiating rent increases on periodic tenancies and issuing the relevant legal notice
Hourly Charge for Additional Work
A hourly charge for additional work including Tenancy disputes.

TENANT FEE GUIDE
Before the tenancy starts (payable to Northwood (Derbyshire) Limited “the Agent”).
Holding Deposit* - Maximum of 1 weeks rent (per tenancy)
* This may be a non-refundable payment
This fee is non-refundable should you decide not to progress your application/sign your tenancy agreement within 15 Calendar days (unless otherwise mutually agreed) or if you have given false/misleading information on the application form or any applicant fails a Right to Rent check.
It will be returned to you in the event the landlord is unable to proceed
Deposit**
- 5 weeks of weeks’ deposit
- This is to cover and damages, dilapidations & defaults on the part of the tenant during the tenancy.
During the Tenancy (payable to the Agent)
For English Properties:
Payment of interest for the late payment of rent 3% above Bank of England base rate.
During the Tenancy if permitted and applicable.
Utilities – gas, electricity, water and sewerage
Communications – telephone and broadband.
Installation of cable/satellite.
Subscription to cable/satellite supplier.
Television licence.
Council Tax.
Lost Keys or other Security Devices
Tenants are liable for the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord & any other persons requiring keys will be charged to the tenant, If extra costs are incurred there will be a charge of £15 inc. VAT per hour , if appropriate, for the time taken replacing any lost keys or security devices
Variation of Contract ( At Tenant’s Request and if agreed by Landlord).
£50 (inc VAT) to cover agents costs in contacting landlord, taking landlord instructions & preparations of new contracts (if required) & system adjustments.
Change of Sharer ( At Tenant’s Request and if agreed by Landlord)
£50 (inc VAT) per replacement tenancy or any reasonable costs incurred if higher:
To cover the costs associated with taking landlords instructions, new tenant referencing and Right To Rent checks, deposit registration and preparation of new legal documents
Variation of Contract ( At Tenant’s Request and if agreed by Landlord)_
£50 (inc VAT) to cover agents costs in contacting landlord, taking landlord instructions & preparations of new contracts (if required) & system adjustments.
Early release from tenancy
If authorisation is given allowing you to vacate the premises before the expiration of any tenancy agreement, you may be liable for the following:
i) Rent up to the date on which the premises are re-let or the expiration of the tenancy agreement, whichever is the sooner
ii) Council tax, water rates, gas and electricity charges along with any other bills which are your responsibility under the tenancy agreement up to the date the premises are re-let, or the expiration of the tenancy agreement, whichever is the sooner
iii) There will be a charge, if appropriate, for the landlord’s costs for re letting the property.
iv) These costs will be no more than the maximum amount of rent outstanding
Other permitted payments.
Any other permitted payments not included above, for breaches of contract or under the relevant legislation including contractual damages.
we charge £480 inc VAT for Company tenancies
Please note: Should you report a maintenance issue with the property and a contractor is called out and their investigations find that the fault has been caused by the tenant/s or an associate of the tenant/s, or alternatively no fault exists, any cost for this call out will be the responsibility of the tenant/s. Northwood reserve the right to deduct any unpaid monies from the deposit.
Tenant Protection

Tenant Fees for pre 1st June 2019 Tenancies
Explanation of our tenant fees permitted under the Tenant Fees Act 2019 transitional provisions, where fees are written into existing tenancy agreements. These apply to all tenancy agreements granted or signed and executed before 31st May 2019, and can be charged up until 31st May 2020
When you decide to rent a home, you need to budget not just for the monthly rent and household bills, but also the initial costs. Your agent will normally ask you to pay a deposit and an administration charge in addition to the first months’ rent. A full breakdown of our fees can be found further down this page.
All fees include VAT where applicable.
Change of Sharer*
If there is a changeover of tenant during a tenancy, we ask you to pay an administration charge to cover the cost of referencing and drawing up of a new tenancy agreement
* This is a non-refundable payment.
Renewal Charge
Tenancies are normally renewed every six months. Each time you decide to renew the tenancy for a further fixed term, a charge will be made. This amount is payable in advance, and must be received prior to a new contract being signed.
Late Payment of Rent
We reserve the right to charge a fee for chasing any rents that are received more than three days late from the due date.
Early release from tenancy
If you want to leave the property before the end of the tenancy, the landlord may agree to this, but may ask you to continue to pay the rent and all household bills until the date a new tenant moves in or your tenancy comes to a natural end, whichever is the sooner. You may also be asked to pay reasonable costs in re-letting the property.
Mortgage/Landlord references
We are normally pleased to provide a reference for the above purpose. To cover our costs in administration we may charge a fee for this service.
Check out
We will charge a fee for the Check Out appointment at the start of the tenancy.
If we are unable to complete the agreed Check Out appointment due to unreasonable delays by you on the day of the appointment, you may also be charged to cover our reasonable costs. Please also note that rent is payable until the day you move out of the property and surrender the keys.
Arrangement Fee
If we need to arrange for any work at the end of the tenancy because of damage to the property caused by you, we will charge you an arrangement fee of 10% of the cost of the work. This is subject to a minimum charge.
Overpayment of rent
We do not have the authority to cancel your Standing Order at the end of the tenancy and this is your responsibility. If we need to refund you rent because you have not done this, we may charge you an arrangement fee to cover the cost of administration.
Please note: at times we may accept payment for some of these fees by credit card. Should this be the case, there will be a charge added to reflect the amount that we will have to pay for the transaction. We will always tell you if we have to make any charges when accepting payments.
Minimum Arrangement fee
If you request us to provide information relating to your tenancy either during or after your tenancy has ended, there may be a fee payable for the cost of administration.
